Best Practices for Effectively Communicating with your Virtual Assistant!

Hello, I'm Kesha P. I'm in my first year as a Virtual Administrative Assistant. As I navigate my way through becoming a more efficient, effective, and AWESOME service provider, I find that everyone communicates differently. My personal and professional experience has taught me that clear expectation are a breeding ground for producing optimal results. Below I have identified some of the best practices for communicating with your Virtual Administrative Assistant.

1. Communicate to your Virtual Assistant the needs of your business

  • Always keep the lines of communication open. Be as descriptive as you can with your project needs. You should feel comfortable with identifying milestones and special requests. If you have a question…ASK. I'm sure your VA doesn't mind answering any questions you might have.

2. Know the Services your Virtual Assistant Offer

  • With so many specializations within the business group, every VA is not one size fits all. Some virtual assistants perform bookkeeping and Account Receivable, while others are only administrative duties. It is helpful to know your business needs. This will enable you to define and state your business demands direction. Understanding the business demands would allow your VA to make recommendations that might be beneficial.

3. Know your Business: Have a clear identifiable Brand

  • As your virtual assistant, it is my job to complete the projects that complement your brand precisely to your specifications. However, there are times when I can be used as a resource. Communicating exactly what you are selling and why you are selling the product is helpful.

4. Project Timeframes

  • It would help if you had an idea of when you would like the project to be completed. "Sometime next week" is not an exact time frame. What if you need the information next Thursday? It would help if you never assumed the VA would have it ready by Tuesday. Identify when you would like the project ready.

Consider clarifying and tracking commitments from the start of the project. Set the standard to which you can build a healthy and long-standing relationship.
